This policy is designed to be comprehensive and transparent, ensuring that both hiring organizations (Companies) and individual applicants (Candidates) understand their rights and our obligations.

2. Personal Data We Collect

We collect personal data relating to you ("Personal Data") in several ways, depending on your interaction with our Platform.

2.1 Personal Data You Provide

  • Account Information:When you create an account, we collect information associated with your identity and organization, including name, business contact details, account credentials, and encrypted transaction history.
  • User-Generated Content:We collect Personal Data provided in the input to our Services. For Candidates, this includes video/audio interview responses, prompts,uploaded curricula (CVs), and images. For Companies, this includes hiring criteria, custom question sets, and evaluation notes.
  • Communication Metadata:If you correspond with us via email or integrated support channels, we collect the contents of those communications to assist with service delivery and platform optimization.

2.2 Data Received From Your Use of Services

  • Log & Telemetry Data:We capture information sent automatically by your browser or device, including Internet Protocol (IP) addresses, browser type, settings, and the temporal metadata of your platform interactions.
  • Usage & Engagement Data:We monitor activity across the Services, such as features engaged, feedback submitted to model responses, time zones, and hardware/connection specifications.
  • Location Information:We determine general geographical areas based on network identifiers for security purposes (e.g., detecting unusual login activity) and localized platform experiences.

3. How We Process Personal Data

We utilize your Personal Data for the following legitimate business purposes:

  • To provide, analyze, and maintain our assessment Services.
  • To improve and develop the platform through research and telemetry.
  • To personalize the hiring experience for both recruiters and applicants.
  • To prevent fraud, illegal activity, and platform misuse.

InterviewAI does not sell your personal data. We disclose Personal Data only in the following limited circumstances:

Vendors and Service Providers

We work with trusted partners for hosting, AI sub-processing (OpenAI, Google, Anthropic), payment processing (Stripe), and security analytics. These parties access data only for specified platform functions.

Business Account Administrators

When joined to a corporate account, your organization's administrators may access and control content produced within that workspace.

Legal and Government Authorities

We may share information to comply with lawful subpoenas, prevent harm, protect platform integrity, or defend our legal rights.

5. Data Retention Protocols

We retain Personal Data only for the duration required to provide our Services or for legitimate business purposes. The determination of retention periods is based on:

6. AI Processing & Zero Training Policy

Data processed for AI analysis (Candidate responses, CVs) is governed by "Zero Training" agreements. We explicitly opt-out of allowing our Tier-1 AI sub-processors to utilize platform data for the training of foundational models. Your proprietary hiring criteria and applicant data remain strictly siloed.
